Delegate Information

Lone Star Caucus Delegates:

The strength of our Lone Star Caucus, the influence we have to affect policy and elections, is solely determined by how many physicians we have show up and vote.  If you are a Delegate to the TMA House of Delegates, or an Alternate Delegate, PLEASE, PLEASE make sure you are registered prior to TEXMED.  Registration can be done through Linda Neely (linda.neely@texmed.org) or Marth Danz (martha.danz@texmed.org).  We try to have as many of our caucus members pre-registered as we can, so that we can fill any voting positions that are not filled.

CRITICAL POINT:

If you show up to TEXMED, and one of your county’s delegates is missing or unaccounted for, ANY MEMBER OF THAT COUNTY MEDICAL SOCIETY MAY BE CREDENTIALED AS A DELEGATE ON THE MORNING OF TEXMED, PROVIDED THEY ARE A MEMBER IN-GOOD-STANDING WITH TMA AND THE COUNTY MEDICAL SOCIETY.

Our main goal is to not waste our delegate votes.  Please make every effort to get your full delegation to TEMXED, registered, and seated.

One other note, if you might be given a vote in the House of Delegates for another reason besides being a delegate from your county (for example, members of some councils, including those on the Board of Councilors, get a vote), please let someone else have your position as a delegate.  You may only be credentialed for one vote, so if you are in a position to potentially get more votes, please have someone take your place as a delegate.

 

HOUSE OF DELEGATES

The House of Delegates will meet at its 2016 Annual Session on April 29-30 at the Hilton Anatole in Dallas. The HOD will convene promptly at 8 am on Friday, April 29, in the Expo Hall with reference committees to follow immediately after the house adjourns. Reference committee hearings will be conducted at the Hilton, Tower Lobby Level, as indicated below. The house will reconvene promptly at 8:30 am on Saturday for elections, to act on reference committee reports, and to install the 2016-17 TMA and TMAA presidents.

HOUSING

MEETING DETAILS AND REMINDERS

Handbook Distribution and Paper Copies

The Handbook for Delegates will be posted on the website by March 25. It will be posted as a single, large document as well as in a series of smaller documents, organized by tabs in the handbook and reference committees. The Supplement to the handbook will be posted about April 15. When it is posted, the original Handbook for Delegates and the Supplement will be available separately along with a combined document that contains both the handbook and supplement.

Registration and Credentialing

Registration for TexMed will be open from 8:30 am to 7 pm in the Tower Lobby on Thursday, April 28. It will be open in the Expo Hall from 7 am to 6 pm on Friday and from 6 am to 1:30 pm on Saturday. You may register in advance online.

Delegates and alternate delegates should go to registration to receive their badges. Badges will be used to properly credential on Friday and Saturday at sessions of the House of Delegates. The HOD Credentials Table will be just outside the house meeting room. Delegates and alternate delegates who have not been reported prior to the annual session will need to be accompanied to the Credentials Table by an officer or executive of their society or caucus in order to credential.

TexMed Orientation

If you are a first-time TexMed attendee, new member of the HOD, or just interested in an update on HOD procedures, plan to have a continental breakfast from 6:30 to 7:30 am on Friday in the Manchester room, Tower Mezzanine Level. You’ll have a chance find out what to do at TexMed and the HOD speaker or vice speaker will be there to review HOD procedures.

What To Do When

Most HOD members are familiar with the “What To Do When” page, always the first page of the Handbook for Delegates. This page lists meetings of the house, reference committee locations, caucus meetings and locations, registration hours, and Reports Room location, among a few other meetings and events. The What To Do When page also is posted as a separate document on the HOD webpage for easy access. Watch for updates to that page on the website.

Resolution Deadline

Resolutions are due to TMA by Friday, March 4, for posting on the TMA website and publication in the Handbook for Delegates. Resolutions received after the deadline must include a plea of urgency from the author and receive a two-thirds affirmative vote by the House of Delegates at the opening session to be considered. To ensure the house considers your resolution in April, submit it by March 4. Follow these guidelines for writing and submitting resolutions.
